Troubleshoot Media Uploads

Understand image, document, audio, video, file-size, thumbnail, and browser issues when media does not upload as expected.

Check file type and size

Use common formats such as JPG, PNG, WebP, PDF, MP3, MP4, or other supported files shown in the upload area. If a file type is blocked, convert it to a supported format before uploading.

Large files may exceed the museum's plan or per-file limit. Try a smaller derivative first if the original preservation file is very large.

Use simple filenames

Before uploading, rename files with short, readable names when possible. Avoid many special characters, very long names, or multiple unrelated numbers in the same filename.

A good pattern is object ID plus a short view label, such as 1984-012-front.jpg or 1984-012-label.jpg.

Wait for processing to finish

Images are processed into display and thumbnail versions. If the upload finishes but the thumbnail is slow to appear, refresh the artifact page after a moment.

If the original file uploads but the preview stays blank, try a different browser or export the image again from the editing software.

Collect details for support

If upload keeps failing, email support with the museum name, artifact URL, file type, approximate file size, browser name, and the exact error text.

Do not email sensitive donor documents or restricted images unless support asks for a secure transfer method.
