Terms of Service

The service terms for museums, archives, historical societies, private collections, staff members, and invited volunteers using Museum Vault.

Agreement to terms

These Terms of Service govern access to Museum Vault, a cloud-based museum collection management platform for small museums, archives, historical societies, and private collections.

By creating an account, accepting an invitation, or using the product, you agree to these terms on behalf of yourself and, when applicable, the museum or organization you represent.

Use of the service

Museum Vault may be used to catalog artifacts, manage media, import PastPerfect or CSV records, run inventory audits, manage loans, publish exhibitions, and collaborate with staff or volunteers.

You are responsible for keeping your museum's account information accurate, managing staff access, and making sure you have rights to upload, store, and publish content.

Acceptable use

You may not use Museum Vault to upload unlawful content, malware, intentionally misleading records, material that violates another party's rights, or content that interferes with service operation.

You may not attempt to bypass access controls, probe tenant data belonging to another museum, reverse engineer protected systems, or overload the service.

Museum content ownership

Your museum keeps ownership of the catalog records, images, files, and exhibition content it uploads. Museum Vault needs a limited license to host, process, back up, display, and transmit that content to provide the service.

If your museum publishes an exhibition, you authorize Museum Vault to display that selected content publicly until you unpublish it or remove it.

Billing and cancellation

Paid plans are billed through our merchant of record. Plan limits, storage limits, file limits, and feature availability may vary by plan.

A museum administrator can manage billing from the billing page when a customer record exists. Canceling or downgrading may limit access to paid features but does not transfer ownership of museum content.

Disclaimers and limitation of liability

Museum Vault is provided as a software tool. Museums remain responsible for professional cataloging decisions, provenance review, legal compliance, public interpretation, and long-term preservation policies.

To the maximum extent allowed by law, Museum Vault is not liable for indirect, incidental, special, consequential, or punitive damages.
